Sales Support coordinator

Our client is local branch of leading clearing & forwarding organization operating around the world. They have retained our services to support hiring process for the position of Sales Support Coordinator to be based at their Nairobi Office.

Job Purpose/Your Role
Reporting to the Branch Manager, Sales Support coordinator plays a key role in assisting the sales team in day-to-day operations, ensuring smooth coordination between customers, sales, operations, and documentation departments. The role focuses on maintaining customer satisfaction, ensuring accurate quotations, timely follow-ups, and efficient handling of client inquiries for both sea and air freight services.

Key Responsibilities
1. Serve as the primary contact for customer inquiries, quotations, and updates.
2. Coordinate closely with internal departments (operations, documentation, finance) to ensure smooth service delivery.
3. Maintain a high level of customer satisfaction through prompt and professional responses.
4. Update CRM or sales tracking systems with client interactions and progress reports.
5. Liaise with shipping lines, Airlines, and overseas agents to obtain competitive freight rates.
6. Prepare and submit freight quotations (import/export - Sea & Air) in a timely and accurate manner.
7. Track shipments, client performance, and support monthly sales reviews.
8. Coordinate with the operations team to ensure bookings are executed per customer requirements.
9. Ensure documentation and billing details are correctly shared with the relevant departments.
10. Support sales management with market intelligence inputs for strategy and rate negotiations.
11. Manage correspondence, contracts, and client files for sales team.
12. Schedule client meetings, prepare visit reports, and follow up on pending actions.

Required Key Qualifications and Experience
- Diploma / Degree in Logistics, Commerce, Supply Chain, Marine science or related field
- 3+years’ experience in freight forwarding, logistics, or shipping environment.
- Strong communication and interpersonal skills.
- Proficient in MS Office (Excel, Word, PowerPoint) and CRM tools.
- Sound understanding of international trade, Incoterms, and shipping documentation.
- Detail-oriented, organized, and proactive in follow-up.
- Ability to work independently, meet targets, and manage time effectively.
- Proficiency in MS Office (Word, Excel, PowerPoint).
