PROCUREMENT ASSISTANT
General Purpose
Our client, a dental clinic, is seeking to hire a Procurement Assistant to support the clinic in efficiently sourcing, purchasing, and managing supplies and equipment. This role will ensure the timely availability of quality materials while maintaining cost-effectiveness and compliance with procurement policies and healthcare regulations.
Location: Nairobi - Lavington | Salary: Ksh. 60,000 (gross)
Duties & Responsibilities
• Assist in sourcing and purchasing dental supplies, equipment, instruments, and office materials.
• Maintain accurate records of purchases, quotations, and vendor information.
• Track inventory levels and coordinate restocking to avoid shortages or overstocking.
• Ensure purchases comply with clinic procurement policies and local regulatory standards.
• Liaise with suppliers to obtain quotations, negotiate pricing, and confirm delivery timelines.
• Inspect delivered goods for quality and quantity and ensure they meet required specifications.
• Maintain and update the procurement database and inventory management systems to ensure accurate and up-to-date information.
• Assist in preparing purchase orders and ensuring proper authorization.
• Monitor and report on procurement budgets and cost-saving initiatives.
• Support audits and ensure all procurement documentation is well filed and accessible.
• Work closely with dental staff to understand supply needs and anticipate future demand.
• Follow up on deliveries and resolve any supply-related issues or discrepancies.
Requirements & Qualifications
• Diploma or Degree in Procurement, Supply Chain Management, Business Administration, or a related field.
• At least 4 years of experience in healthcare/Pharmaceutical procurement.
• Experience in the procurement of dental equipment is an added advantage.
• Knowledge of dental or medical supplies is an added advantage.
• Familiarity with Kenya’s Public Procurement and Asset Disposal.
• Strong negotiation and communication skills.
• Proficient in Microsoft Office and inventory management software.
• High level of integrity, attention to detail, and organizational skills.
• Ability to work independently and as part of a team.
